What is a shared mailbox?

A shared mailbox in Microsoft 365 is an email address that multiple people can access and send from — without needing a separate password. Common examples include reception@yourcompany.com.au, info@, or a colleague's mailbox when they're on leave.

When your IT administrator grants you access to a shared mailbox, it can be added directly to the Mail app on your device. Emails you send will appear to come from the shared address, and all team members with access can see the same inbox in real time.

Before you begin, make sure your IT administrator has already granted you "Full Access" permission to the shared mailbox in Microsoft 365. If you're not sure, just give us a call.

You'll need

  • Full Access permission to the shared mailbox
  • Your personal Microsoft 365 email address
  • Your Microsoft 365 password
  • Your phone nearby for two-factor authentication
  • A Wi-Fi or mobile data connection
